PenTeleData Webmail Tutorial PenTeleData would like to welcome you to the new and improved “My PenTeleData Webmail.” Just below, we have provided a brief tutorial of the more commonly used functions of our web based e-mail system along with some of the newest features. In the event that you have a question or trouble in accessing your e-mail account using “My PenTeleData Webmail,” please call our Technical Support Department at (800)281-3564, and follow the menu to get to Residential Technical Support. Once you have successfully logged in to “My PenTeleData Webmail” you will see the following screen. Before moving on we will take a moment to review what options are available to you on the current screen. Please review the image below for explanations what each icon means. After reviewing the above image we can continue our overview. To view an e-mail message simply double-click on the message and it will open to a full page view of the message. You will notice three new options at the top of the screen that were not there when you were in the inbox. Please review the picture below for an explanation of these new options. For the following section you will need to click the “Back to message list” button shown above. A search feature can be found above the headings for “Date” and “Size.” This tool will search for a subject line or sender of an e-mail that meets the criteria you entered. Creating a New E-Mail Message 1. To begin, select “Create a new message” from the list of icons at the top of the screen, this is the icon that appears second from the left above the heading “Subject.” Before moving on we will take a moment to review what options are available to you on the current screen. Please review the image below for explanations what each icon means. 2. After completing your e-mail message click the “Send now” button to send the e-mail. Attaching a File to a New E-mail Message 1. To begin, select “Create a new message” from the list of icons at the top of the screen, this is the icon that appears second from the right above the heading “Subject.” There are two different ways to attach a file to your e-mail. -Click the paper clip at the top of the screen -Click the plus sign (+) under the “Attachments” heading on the left side Repeat the process as necessary to add more attachments. 2. After adding any necessary attachments, complete your e-mail message normally then click the “Send now” button to send the e-mail. Creating an Address Book Entry There are three different ways to add someone to your address book. The first method is to add them directly from an e-mail that you are currently viewing. This can be done by simply clicking on the plus sign (+) next to the sender’s (or one of the recipient’s) e-mail address, when viewing an e-mail, as shown below. The second method is to manually create an entry in the address book system. 1. To begin, select “Address Book” from the list of menus at the top of the screen. Before moving on we will take a moment to review what options are available to you on the current screen. Please review the image below for explanations what each icon means. After reviewing the above image we can continue the process to manually create an address book entry. 2. Click the “Create new contact card” button, the leftmost icon above the window labeled “Display name.” 3. Fill in the appropriate information in the window on the right labeled “Add new contact.” Once you are finished, click “Save.” You have now manually created an address book entry. Repeat the process as necessary to create more entries. The third method is to import a previous address book in to the address book system. 1. To begin, select “Address Book” from the list of menus at the top of the screen. 2. Click the “Import contacts” button. 3. Click “Browse” and browse to the path where the file is located. Once you are finished, click “Import.” 4. Once the file has been imported click “Done.” To view existing address book entries simply click on the display name you would like to view more information about as shown below. Personal Settings To begin, select “Personal Settings” from the list of menus at the top of the screen. The “Preferences” tab: •User Interface -Language – Changes the language that is displayed in “My PenTeleData Webmail” -Time zone – Changes the current time zone -Daylight savings – When checked your e-mail will automatically update for Daylight Savings Time -Pretty dates – Changes the way dates display (checked would resemble “Today 10:50” / unchecked would resemble “01.01.2009 10:50”) -Rows per page – Changes the number of e-mail messages that appear in the inbox at one time •Mailbox View -Focus browser window on new message – Undefined at this time. -Show preview pane – Gives the option to turn on the preview pane, with this unchecked you will have to double-click on each e-mail message to view them one at a time -Sender notifications – When a sender requests a notification that you have read an e-mail this option lets you choose whether to ask you if you want to send the notification, automatically send a notification, or ignore the request -Check for new messages on – Allows you to change how often webmail will automatically check for new messages •Displaying Messages -Display HTML – Allows links and pictures to be seen in e-mail messages you receive -Show images from known senders – Automatically displays images from contacts in your address book -Display attached images below the message – Allows pictures to be previewed below the e-mail message •Composing Messages -Compose HTML messages – Allows you to send links and pictures -Automatically save draft – Changes amount of time before an e-mail that is currently being created automatically saves •Server Settings -Mark the message as read on delete – Even if you have not read the message, when you delete the message it will automatically mark the message as read, which means whatever option is chosen for “Sender notifications” will happen at this time (ask the user, send automatically, or ignore). -Flag the message for deletion instead of delete – Instead of moving messages to the Trash folder this option simply marks the messages for deletion and leaves them in the current folder until you click “Compact” -Do not show deleted messages – This option only works along side of “Flag the message for deletion instead of delete,” it hides the message in the current folder that are marked for deletion -Clear Trash on logout – When selected, this option will automatically delete all e-mail in the “Trash” folder when logging out of “My PenTeleData Webmail.” -Compact Inbox on logout – When selected, this option will automatically compact all e-mail in the “Inbox” folder when logging out of “My PenTeleData Webmail.” The “Folders” tab: The folders tab lets you personalize your folders list by creating your own unique folders. You can also subscribe or unsubscribe to personal folders, as well as delete personal folders. You can also view the number of messages currently in each folder. Note: Default folders such as Inbox, Drafts, Sent, and Trash cannot be unsubscribed to or deleted. Also, some special characters may not appear when creating a new personal folder. The “Identities” tab: The identities tab allows you to change the display name, organization, reply-to, Bcc, and signature on your e-mail address.
